TERMS AND CONDITIONS

These Terms and Conditions outline the rules, regulations, and obligations for all vendors participating in Youth Weekend @ Green Jewel. By booking a vendor spot at the event, you agree to comply with the following terms.

1. PLOT ALLOCATION AND MULTIPLE PLOTS

• Each vendor may book more than one plot, depending on availability at the time of booking. Vendors should indicate the number of plots required during the booking process.
• Plot dimensions will be specified during booking. Vendors are encouraged to review plot layouts before selecting multiple plots to ensure they meet their space requirements.
• Plot assignments are done on a first-come, first-served basis. No reservation is confirmed without full payment.
• Vendors are expected to set up within their assigned plot boundaries. Expanding beyond these boundaries will result in penalties or removal from the event.

2. PAYMENT POLICY

• To secure a plot(s), vendors must pay the full amount to the appointed subsidiary account number at the time of booking. No partial payments or holds will be accepted.
• Once payment is received, a confirmation of the booking along with plot assignment will be sent to the vendor’s provided email or phone number.
• Payments must be made immediately after the vendor’s request to book a plot. Failure to make the payment promptly will result in the plot being offered to another vendor.
• All payments are final and will not be refunded or transferred under any circumstances.

3. NO REFUND POLICY

• A strict no refund policy applies to all vendor bookings. This means that vendors are not entitled to a refund in the event of:
o Cancellation by the vendor.
o Nonattendance.

• Vendors should carefully consider all aspects of participation before making payment, as there will be no exceptions to this policy.

4. TENT REQUIREMENTS

• Vendors are responsible for bringing their own tents for their plots.
• The maximum tent size allowed is 3 meters by 3 meters (3m x 3m) per plot. Vendors requiring more space should consider booking multiple plots.
• Vendors bringing tents larger than the specified dimensions will not be permitted to set up or may be asked to reduce their tent size.
• All tents must be securely anchored or weighted down to ensure stability, especially in windy conditions. The event organizers are not responsible for damages resulting from improperly secured tents.

5. PROVISION OF FACILITIES

• Electricity: The event organizers do not provide electricity. Vendors requiring power must arrange for their own battery-operated equipment, generators are permitted.
• Water: No water supply will be available at the event. Vendors should bring enough water for their personal and operational needs.
• Vendors are responsible for providing their own necessary utilities, including lighting, refrigeration, or any other equipment that their stall may require.

6. VENDOR AREA CLEANLINESS AND WASTE MANAGEMENT

• Vendors are expected to keep their designated area clean at all times.
• Clean as you go: Vendors must regularly dispose of any trash or waste during the event to avoid the accumulation of debris. Trash bags will not be provided; vendors should bring their own.
• Waste should be placed in designated trash disposal areas provided by the event organizers. Failure to properly dispose of waste could result in penalties.
• Vendors who leave their area in an unclean or unsanitary condition may be charged a cleaning fee or may be barred from future events.

7. SET UP AND BREAKDOWN TIMES

• Vendors will be allowed to set up during specified hours before the event. All setup activities must be completed before the official opening of the event.
• Vendors should be ready and operational at least 30 minutes before the event opens to the public.
• After the event, vendors are required to break down their stalls and vacate the area within the allotted time. All items, tents, and equipment must be removed from the event site, and the vendor plot should be left clean and tidy.
• Failure to vacate within the specified time may result in penalties or additional charges.

8. VENDOR CONDUCT AND BEHAVIOUR

• All vendors are expected to maintain a professional demeanour and conduct themselves respectfully toward customers, event staff, and fellow vendors.
• Any disruptive, offensive, or inappropriate behaviour, including harassment, excessive noise, or unsafe practices, may result in immediate expulsion from the event without refund.
• Vendors are responsible for managing their staff and ensuring that all persons working at their stall adhere to these terms and conditions.

9. LIABILITY AND INSURANCE

• Vendors are solely responsible for the safety and security of their goods, equipment, and personal belongings throughout the event.
• The event organizers are not liable for any loss, theft, or damage to vendor property.
• Vendors are encouraged to obtain their own insurance coverage to cover any potential damages, losses, or liabilities incurred during the event.
• Vendors assume full liability for any accidents, injuries, or damages that occur as a result of their operations, goods, or negligence.


10. COMPLIANCE WITH LOCAL LAWS AND REGULATIONS

• Vendors must comply with all local laws, health, and safety regulations. This includes food safety requirements, business licensing, and product compliance.
• Vendors selling food items must ensure they hold all necessary health certifications and adhere to proper food handling standards. Random inspections may be conducted by health authorities or event organizers.
• Any vendor found in violation of these laws or regulations will be subject to immediate removal from the event without refund and may face further legal action.

11. PRODUCT AND SERVICE APPROVAL

• All vendors must ensure that their products and services are pre-approved by the event organizers prior to the event.
• Vendors are prohibited from selling illegal, counterfeit, hazardous, or prohibited goods. Event organizers reserve the right to remove any vendor found in violation of this policy.
• The sale of products or services deemed inappropriate, unsafe, or harmful to the event’s image is strictly prohibited.

12. CANCELLATION OR CHANGES BY ORGANIZERS

• In the event of unforeseen circumstances such as weather, natural disasters, or government regulations that force the cancellation or postponement of the event, vendors will be informed immediately.
• The no refund policy remains in effect even in the case of cancellation by the organizers, but alternative arrangements may be offered at the discretion of the organizers.

13. PARKING AND LOADING/UNLOADING

• Designated parking areas will be provided for vendors. Vendors must adhere to the parking guidelines and avoid parking in unauthorized areas.
• Vendors will be allowed to load and unload their equipment and goods during specific time slots prior to and after the event.
• All loading/unloading must be completed within the setup and breakdown times. No vehicles will be allowed in the event area once the event has commenced.

14. RIGHT TO AMEND TERMS AND CONDITIONS

• The event organizers reserve the right to modify, amend, or update these Terms and Conditions at any time without prior notice to vendors.
• It is the responsibility of the vendor to regularly review the terms and stay informed of any changes.
• Any updates or changes to the terms will take immediate effect once published and will apply to all current and future vendors.

By booking and participating in the Youth Weekend @ Green Jewel, all vendors acknowledge that they have read, understood, and agree to comply with these terms and conditions. Failure to comply may result in the loss of your plot, fines, and exclusion from future events.
